GREENFIELD AND GRASSCROFT
RESIDENTS' ASSOCIATION


CONSTITUTION OF THE ASSOCIATION

  1. The Association is to be known as the Greenfield and Grasscroft Residents Association.
  2. The membership of the Association is open to all residents of Greenfield and Grasscroft and its aim is to promote the interests of the residents of Greenfield and Grasscroft regarding the environment, infrastructure and amenities of that area.
  3. The Association shall be non-political and non-sectarian.
  4. The Annual General Meeting will be held in October of each year at which the following matters will be dealt with:
    1. Chairman’s report.
    2. Presentation of audited accounts of the Association for a year ending 30th September including proposals regarding annual subscriptions.
    3. Election of the Officers of the Association for Chairman, Secretary and Treasurer.
    4. Election of an auditor who shall not be an elected Officer of the Association.
    5. Special business for which 21 days notice in writing shall be given to the Secretary for inclusion on the meetings agenda.
    6. Any other business.
  5. No change in the constitution can be made at any time other than at the A.G.M. or at an Extraordinary General Meeting.
  6. Cheques and monies will only be issued on the dual signatures of the Treasurer and one other Officer of the Association.
  7. In the event of the disbanding of the Association all funds and property belonging to the Association shall be disposed of by the majority decision of the members at a final special meeting of the Association for which 21 days notice must be given to each member.
  8. An Extraordinary General Meeting can be called for to deal with a specific matter by giving 2l days notice in writing to the Secretary. Such a meeting can be called for by any five members of the Association. Such a meeting must be held within 4 weeks of the date of the receipt of the notification by the Secretary who shall advise all members of the date of the meeting.
  9. Emergency decisions can be made by a majority vote of the Officers of the Association. Such decisions shall be subject to ratification by the members at the next available meeting. Otherwise all matters placed before the Association shall be decided upon a simple majority by a show of hands or secret ballot of the members present at any properly called meeting or the Association.
  10. A quorum for any meeting shall be those present at the meeting.
  11. For the purpose of definition within this Constitution a “member” is any qualifying resident who has paid the annual subscription.
